STANDARD CONDITIONS OF HIRE
PLEASE READ CAREFULLY
  1. Please show this document to your caterer and/ or entertainment provider. 
  2. Caterers and entertainers including bouncy castles, face paints etc. etc. MUST have their own insurance to cover any event. A copy of all insurance certificates must be forwarded with the signed agreement or forwarded one month prior to the event. Failure to do so could result in your booking not going ahead and you forfeiting ALL your hire fee.
  3. The hirer will only use the rooms specified on the hire agreement, these areas must be left in a clean and tidy manner as found. The hirer will be held responsible for any damage to the structure of the building or any items or equipment belonging to or in the charge of the Trustees.
  4. The hirer is responsible for the behavior of ALL persons using the premises including the observation of the legally binding no smoking policy and the halls no vaping policy. The hirer will be responsible for any penalties incurred for failure to comply by any person during the hire period. In addition, they must supervise the use of the car park.
  5. The hirer shall not use or permit the use of the premises for any other use than that described in the hire agreement and shall not sublet or use or allow the premises to be used for any unlawful purpose or bring into the  premises anything which may endanger the same or any insurance policies in respect thereof, the hire may be subject to immediate termination with no refund  in respect of the above.
  6. The vestibule (entrance hall) is not part of the hire, it is a fire exit and walkway only. ALL fire exits must be kept unobstructed at all times and no additional means of securing may be added. The fire exit signs must not be covered and must always be clearly visible at all times. The vestibule is included in the area to be left clean and tidy as found.
  7. No equipment belonging to, or in the charge of the trustees including firefighting equipment, fire or intruder alarms (except in an emergency) may be moved, defaced, or tampered with. Should a false alarm be caused by such tampering a call out fee of £200.00 will be charged to the hirer for payment to the alarm company.
  8. Hooks are provided for attaching decorations, NO NAILS, STAPLES, DRAWING PINS, ADHESIVE MATERIALS, PAINTS, CHALK, CRAYONS, PENCILS, PENS OR ANY FORM OF MARKING OR COLOURING MATTER, BE APPLIED TO, ATTACHED TO, OR DRIVEN INTO WALLS FLOORS, OR ANY OTHER PART OF THE BUILDING OR EQUIPMENT, INCLUDING NOTICE BOARDS BELONGING TO OR IN THE CHARGE OF THE TRUSTEES.
  9. The preparation of foodstuffs is restricted to the kitchen only.
  10. Only furniture provided by the Trustees or hired in on your behalf and at your expense by the Trustees may be used on the premises. Glasses are to be hired from the hall (prices on request). Glasses must NOT be brought in by yourselves or your caterers. A charge will be made for any broken, missing or damaged glasses.
  11. Discos, bands and groups may only use the stage area and may not under any circumstances set up on the hall floor. The stage has its own entrance.
  12. Hire deposits paid are non-refundable if the hire is cancelled by the hirer.
  13. A deposit of 25% of the total hire charge must be paid to the Booking Secretary at the time of booking, The balance along with the damage deposit MUST be paid not less than 8 weeks prior to the event. The damage deposit will be returned after the hire period providing no damage has occurred.
  14. The field is not part of the hire and remains open for the use of the general public. Therefore, NO barbecue, fires, fireworks or any other similar practice that may endanger others is permitted unless with the Trustees approval. If you wish to place a bouncy castle gazebo etc. on the field, then please talk to the Booking Secretary.
  15. Any functions that are charging admission must do so by pre-paid tickets and it can not be done with random payments at the door and must not be advertised as such, except by prior approval.
  16. Alcoholic beverages and soft drinks may only be served or sold from the bar with the exception of wine provided with a meal or for a toast taking place before the bar opens, upon which said supply must cease and no temporary bar may be set up elsewhere. Failure to observe this rule may result in the loss of your damage deposit and/or your function may be shut down. On no account may alcohol be provided for the consumption by minors under the age of 18 years. If the bar takings are less than £250.00 the hirer will have to make up the shortfall. You will be informed on the night.
  17. The bar has a strict over 18 years old policy and if anyone looks under 25 years old then they will be asked for a photo ID and if this cannot be produced then they will not be served and others must not buy them drinks. UNDERAGE DRINKING COULD RESULT IN THE EVENT BEING CLOSED.
  18. If the hirer wishes to pay for any or all of the bar drinks then a card payment will be taken at the start of the event and if necessary further payments may be required as the event progresses.
  19. ALL AREAS of the premises used must be left in a clean and tidy condition. ALL tables and chairs are to be wiped down and left clean, then returned to their original position, please DO NOT drag them across the floors. ALL rubbish is to be collected in plastic sacks (hirers to provide) and deposited in waste bins provided outside of the building in the parking area. Tea towels, dish cloths and washing up liquid to be supplied by the hirer (please bring it with you).
  20. No decorations, equipment or any other goods belonging to the hirer shall remain on any part of the premises after the period of hire. (If left they will be disposed of.)
  21. It is a condition of the halls license that all evening functions must cease, and music stopped at the following times and the premises vacated 30 minutes later.
    Monday - Thursday: Bar closes at 10.30 pm/ Music must stop at 11.00 pm
    Friday & Saturday: Bar closes at 11.00 pm/ Music must stop at 11.30 pm
    Sunday: Bar closes at 10.00 pm/ Music must stop at 10.30 pm
  22. Any raffles or auctions must be drawn at the end of the evening to prevent bottles of alcohol being opened and consumed.
  23. The hall is in a residential area, and we request that you keep the front doors closed and that the hirers and their guests leave the premises quietly and cause as little disturbance as possible to our neighbours. At the end of the evening could your entertainment or yourselves please make an announcement asking your guests to please leave quietly, not make a noise in the car park and refrain from slamming car doors.
  24. 12 year - 21 year birthdays will require a damage deposit of £1,000.00 paid in advance.
  25. A Trustee will meet you at the hall at the start of your booking and not before. Please be punctual or if you wish your hire to commence at a later time than stipulated then please inform the Booking Secretary at the time of booking so that alternative meeting arrangements can be made.
  26. Trustees will not accept responsibility or liability for any injury or damage to persons, vehicles or damage to property except as may be shown to be directly attributable to the negligent act or default of the Trustees, Its servants or agents.
  27. It is the hirers responsibility to make themselves aware of all the fire exits and all fire equipment at the time of hire.
  28. The hall is covered by CCTV inside and out. See CCTV policy.

N.B.
ANY event at Abridge Village Hall can be cancelled without notice in the event of a local or national emergency beyond the Trustees’ control.
